Submissions Privacy Notice
This privacy notice is for applicants submitting work for Marginalia’s publication submission opportunities. It sets out the ways in which the Marginalia team gather, use, store and share your data. It also sets out how long we keep your data and what rights you have in relation to your data under the General Data Protection Regulation (GDPR).
Where do we get your data from?
We collect data about you when you register an interest in our publication submission opportunity. Much of the data we hold on you comes from information you have provided to us in your submission for publication. Additional information may have been provided by you as part of your interactions with us, for example by registering on our mailing list or through engagement with a different Marginalia scheme or event.
What data do we have?
Personal data including name, email address, gender identity, age.
Special category data including information about disability, racial or ethnic origin, sexual orientation.
Other data that you provide to us for the purposes of us monitoring Marginalia’s opportunities being in line with our commitment to ensuring a broad and inclusive outreach, such as information about your socio-economic background.
What is our legal basis for processing your data?
Marginalia needs to collect and retain certain types of data, in various formats, about people who have engaged with Marginalia in order to provide, tailor and improve our services and opportunities.
Typically data will be processed:
- Because you have given us your consent
- Because it is necessary for legitimate interests, for the purposes of facilitating the publication submission opportunity
- For the purposes of monitoring equal opportunities
How do we use your data?
Marginalia may process your personal data for the following purposes:
- to progress your enquiry and/or submission for publication
- to administer the delivery aspects of our relationship with you including sending copies of the publication
- to manage your participation at events
- to monitor equal opportunities
- to enable effective communication with you
- to let you know about opportunities and other updates relevant to Marginalia. If you consent to receive marketing, you may opt out at any time. If you no longer wish to be contacted for marketing purposes, you can either contact us using the details below or simply update your preferences using the link provided in our marketing emails.
Who do we share your data with?
Marginalia may share your data with:
- Shopify, vendors and other third parties who perform services on our behalf (e.g. IT management, payment processing, data analytics, customer support, cloud storage, fulfillment and shipping)
- the Marginalia team’s trusted reviewers for the purpose of assessing your submission for publication and providing you with appropriate support
- third parties that process data on behalf of Marginalia to support us in facilitating the submission process (e.g. software and system providers including but not limited to Google)
How do we keep your data secure?
Marginalia takes information security seriously and has implemented appropriate technical and organisational measures to protect personal data and special category data. Access to information is restricted on a need-to-know basis and security arrangements are regularly reviewed to ensure their continued suitability.
If you submit to an opportunity with Marginalia your data will be stored digitally in a restricted filing system only directly accessible by the two Marginalia directors.
EDI monitoring questionnaire responses will be stored in an anonymised and aggregated format.
How long will we keep your data?
Marginalia will retain your data in line with legal requirements or where there is a business need.
What rights do you have in relation to your data?
Under the General Data Protection Regulation, you have a right of access to your data, a right to rectification, erasure (in certain circumstances), restriction, objection or portability (in certain circumstances). You also have a right to withdraw consent.
